Policies and Procedures

For classes taking place at one of our community center locations, please do not drop your child off more than five minutes before the start of his or her class. The teacher will be using the before-class time to prep and will not be able to accept students until five minutes before the stated start time.

Please be prompt when picking your child up at the end of class!  We often have other classes or family obligations which will demand that we leave very soon after our class time ends.

Because of the distraction to the whole group, parents, friends, and other family members, etc. will not be permitted to sit-in on or observe children's classes.

Because our desire is to maintain a positive group environment, disruptions of class time, dangerous behavior, bullying of any kind, or other negative behaviors will not be tolerated.  These types of behavior issues may result in the child being dismissed from the program with no refund of enrollment fees and the child may not be allowed to participate in future programs.  If a child is extremely disruptive, or is behaving in a rude, dangerous, or aggressive way toward other children or the instructor, parents will be called to pick that child up immediately so that our class or event may continue without disruption for the other participants.

Please notify us by email if you know you or your child will not be attending an upcoming class session so that we may plan accordingly.  No refunds will be given for missed classes and instructors will not make up time or work individually with students.

In case of teacher illness or emergency, the class will be rescheduled or a make up session scheduled and all participants will be contacted by email and/or phone as far in advance as possible.

Objects like toys, dolls, video games, iPods, etc. should not be brought to class.  

The use of cell phones for any purpose (including texting and internet use) is strictly forbidden during classes or events. Cell phones MUST be turned completely off and put away during class time.   

HeARTsong and our teachers will not be responsible for any items left behind in the classroom area. 

For all group classes and workshops, if you withdraw at least 48 hours before the first class, having already paid your enrollment fee, you will receive a partial refund which will equal the amount you paid minus a 50% cancellation fee.  If you cancel or withdraw less than 48 hours before the first class or at any point during an on-going series of classes, no refund will be given.  

For Private Sessions:  Sessions canceled less than 24 hours in advance will not be made up and will count toward your lesson total.  Please cancel your session at least 24 hours in advance if you are unable to keep your scheduled appointment.  Also please note that, should you arrive late for your private session, the session will still end a the scheduled time.

SCHOOL CLOSING INFORMATION:  Weekday classes will not meet on any day that the host school is closed or dismisses early for weather.  Classes may meet on days with delayed school start times.  In the case of delayed start days, we will send an email to let parents know if we will meet that day.  Our homeschool class will follow the decision of Tulsa Public Schools in regards to weather closings. Please check local news for school closing information.  In addition, after-school and evening classes will NOT meet on days when Tulsa Public Schools (or the host school) cancels evening activities due to weather or when evening travel is predicted to be potentially unsafe for participants and their families.  If afternoon/early evening weather seems iffy, please check your email for updates. **In the case of school closings (whether due to inclement weather or other unforeseen and unavoidable events like teacher strikes, widespread illness, building maintenance issues, etc) missed class days will not be made up and no refunds or credits will be given for missed class sessions.**

By attending HeARTsong classes, workshops, and events, or by allowing your minor child or children to attend, you hereby grant permission to HeARTsong Creative Center, LLC, to use your photograph, or that of your minor child or children, on its World Wide Web site, Facebook page, Twitter account, any other online media, or in any printed media for the purpose of advertising and publicity without further consideration or permission, and you acknowledge their right to crop or treat the photograph at their discretion. You also acknowledge that HeARTsong may choose not to use your photo at present, but may do so at its own discretion at a later date. HeARTsong will not publish any names or other personal or identifying information along with photos.  If you do not want your photos, or photos of your minor child or children to be used in future online and printed publicity, you must deliver a statement in writing to this affect prior to the start of the class, workshop, or event you or your child/children will be attending.
